Stay on target and schedule
Meetings are often big time-wasters and can prolong forever if not adequately controlled. Every meeting should have a defined routine, and participants should be informed that they are sticking to it. Otherwise, the employees will try to procrastinate for the meeting and any other works related to it.
It would help if you did not allow that as a leader. Any minor concerns or ideas got to be addressed after a particular meeting. The issues and ideas should all be discussed at the end of the meetings. After all the employees give their suggestions, a standard solution with majority votes should be adopted.
Similarly, common and have a majority of votes should be implemented in action to better the organization. These rules limit distractions and motivate the opposite participants to be more focused on the meeting topic. Also, taking their suggestions would make them feel important to the organization, and they will also feel involved in the meeting and will not feel bored.
Manage your energy
You should know what drains you and what sustains you. Self-assess yourself and your activities. Try to identify your strengths and weaknesses. Try to recognize which activity brightens you up, .i.e. boosts your energy, and which activity drains your energy.
Classify your activities in the categories of energy-boosters and energy-drainers so that you can act according to them. You can work upon those actions which energize you and avoid the actions which drain your energy, and you feel worn out. For example, if your favorite recreational activity is gardening, then you should pursue that each day after you come from your office.
If you feel every day, you follow the same monotonous schedule and then try to change that schedule of yours. Try to do something different than the former day. Try switching between your leisure-time activities after some days.
Let you have 2-3 interests such as reading novels and playing cricket, then you can try playing cricket for a few days, then after some days you can read novels till the next few days, and then again you can switch to playing cricket.
After that, you will feel cheerful and relaxed. Doing this will help you to work more effectively and with more vigor. While working at your office, try to take some break between works if possible. That will make you feel rejuvenated, and you will be able to do your work with more strength. After taking a break in between your work, you will feel energetic and will be able to give your best performance.
Delegate and trust
There are many other intelligent and talented people in your workplace who can work effectively for the company. Learning to delegate means learning to trust others to do their jobs without doing surveillance.
If anyone in an upper hierarchy of a workplace tries to do too much surveillance on a junior-level team member, then he/she may not be able to focus on his/her work properly and may get distracted.
The boss himself may also get distracted, or much of his/her time might get wasted while trying to monitor the junior employees. This is not feasible. Surveillance up to some extent is good to check the performance and regularity in work and attendance of employees, but too much of it is not good.
Let them concentrate on their work so that you can also concentrate on your work. If a team member can do the same task at 90% of your level, give it to them. It is worth passing on the work so that you can concentrate on higher-level works for yourself.
Put technology to work
Technology can be a handy tool or a big distraction. Super-productive people know how to use technology to help them concentrate, and technology helps them do their work more effectively. Use email filters so that emails are organized and prioritized consequently. You can also use email tracking so that you will be notified of it when a person reads your mail.
You don’t need to constantly check your smartphone for notifications and other updates if it can tell you when an important meeting/event is there in the future. Don’t procrastinate any work/studies. Many people often procrastinate their works by remaining idle, and thus, they waste their precious time.

Multitasking is a natural productivity killer. People who constantly assess and work on multiple streams of information have difficulty paying attention, recalling particular information, and switching from one work to another effortlessly. As a result, more time is wasted while doing multitasking.
Even those who feel they have a talent for multitasking perform worse than those who focus on a single task and only move on only when finished. So, it’s better to do one task at a time.
Don’t let email take control
Set a schedule to check your email every day. Deal with any meaningful responses right away, and don’t open it again. Finish the email reply works as soon as possible. Don’t let the work stay behind.
Keep email alerts on so that high-priority mails from important customers come to your attention immediately. There won’t be any need to recheck the messages from hour to hour (or even within minutes for a few people). Prolific people don’t allow email to become a continuous obtrusion in their important day-to-day works.
Because checking emails continuously would be a great distraction from your high-priority works, and in turn, your time is also wasted. As a result, you cannot complete the necessary and essential tasks in time.
Don’t do overthinking about anything. You might have heard the line, ‘An idle mind is the devil’s workshop.’ You should always engage yourself in one or the other work. Then, no negative thought will come to your mind. If you always do some work, then you will always have positive thoughts in your mind.
